LEADING HR SOFTWARES IN KENYA

I've worked in two major startups in Kenya one with over 600 employees and another with 200+ and across both, I've had hands-on experience with several HR software platforms.

Some worked brilliantly, others didn't survive the trial period.

This guide is based on what I've personally tested with my teams, not what looks good on a vendor's landing page.

If you're a founder or HR lead searching for the right HR software for a Kenyan company, I want to help you avoid the mistakes I've seen people make including ones I made myself.

Before you buy any HR software in Kenya, do these three things

1. Ask every pricing question during the demo

HR software often looks affordable on the surface, but once you sign up, you get hit with add-ons, feature upgrades, and per-user fees that weren't in your original budget.

I'd strongly recommend going into every vendor demo with a list of pricing questions ready.

Ask what's included at each tier, what triggers a mandatory upgrade, and what the total annual cost looks like for your headcount. Budget for the real number, not the headline number.

2. Involve your team in the trial

This is the one I feel most strongly about. Don't choose an HR system alone. I've seen HR software fail at the implementation stage simply because the people who would actually use it payroll staff, team leads, field managers weren't consulted during the trial.

I always recommend picking a few people from different departments to participate in the evaluation. Their raw feedback will tell you things no demo ever will.

3. Check for Kenya labour law compliance

This one is non-negotiable. A good HR software for Kenya must be able to generate statutory reports for KRA (PAYE), SHIF, NSSF, and the Housing Levy (AHL).

If the system can't handle Kenyan compliance reporting, it creates more work than it saves.

The era of managing this in Excel is over. You need a system that makes compliance automatic, not complicated.

KEY INSIGHTS

  • HR software always looks affordable upfront, but add-ons and forced upgrades are where budgets get blown.

  • Choosing HR software alone is one of the costliest mistakes a founder or HR lead can make.

  • Any HR software you consider must handle PAYE, NSSF, SHIF, and the Housing Levy automatically.

  • Zoho People excels at leave and attendance, WorkPay and AREN are strongest for payroll compliance, and Odoo suits manufacturing and e-commerce operations.

  • A globally popular HR system isn't automatically the right fit for a Kenyan company.

THE 4 HR SOFTWARE TOOLS

1. Zoho People: Best for leave management and remote teams

Zoho People is an HR software that automates and streamlines repetitive HR tasks. I'm currently using it at my company, and the main reason we chose it was its leave and attendance management module.

Leave management in Kenya is genuinely complicated, especially when you have field teams spread across different locations.

Before Zoho People, we were managing leave through Excel and Google Docs it was messy and time-consuming.

Once we onboarded everyone onto Zoho People's portal, tracking attendance and leave applications became straightforward.

The mobile app makes it even easier for field staff and remote workers to log in from anywhere.

I also appreciate the performance management module. It includes goal-setting, reviews, self-appraisals, and 360-degree feedback.

You can customize the performance journey to fit your company's process. That said, the customization has limits if you push beyond the available fields, you'll need to upgrade to a higher plan.

Who It's Best For

Remote and distributed teams, Companies with field staff, Multi-shift operations and Healthcare businesses

Pricing Model (Kenya)

Plans are charged per user per month

Essential HR

Ksh 135 / user / month

Professional

Ksh 225 / user / month

Premium

Ksh 315 / user / month

Enterprise

Annual Billing

Slightly lower rates are available with annual billing

Example Cost (200 Employees)

Essential HR Plan: Monthly Cost: Ksh 27,000 Annual Cost: Ksh 324,000

It's not cheap, and for an early-stage startup with a tight budget, it's worth factoring in carefully.

(Note: Pricing is based on monthly billing and may vary depending on the selected plan and number of users. Annual subscriptions offer discounted rates.)

2. WorkPay: Best for Kenyan payroll and NGOs

WorkPay is a Kenyan-built payroll system with HR functions built around it. I used it at a previous company where we were dealing with a high volume of payroll errors something that's almost inevitable when you're managing 1,000+ employees without a proper system.

WorkPay's strength is in how cleanly it handles payroll inputs and statutory remittances.

It automatically calculates and remits PAYE, SHIF, NSSF, and the Affordable Housing Levy (AHL). For any Kenyan company, that alone is worth a lot.

I'll be honest, we didn't use it extensively for other HR functions, so I can't speak to those in depth, what I can say is that for payroll processing, it works well.

Fully Outsourced Payroll

USD 40 per employee per month

Best value for

Key Benefit

Airtight payroll compliance and reduced administrative burden

3. AREN Software: Best budget alternative for payroll compliance

AREN is a payroll-focused system with basic HR functions like leave management.

I'd describe it as a more affordable alternative to WorkPay rather than a direct competitor WorkPay is more feature-rich, but AREN gets the core payroll job done at a lower cost.

Unlike per-user monthly pricing, AREN charges per licence update. On average, that means one billing cycle per year roughly $300 per update based on my experience. That makes it predictably cheap compared to subscription-based tools.

It's fully compliant with Kenyan statutory requirements and I've used it to generate NSSF reports, PAYE reports, HELB deductions, and other financial compliance outputs without issues.

4. Odoo: Best for manufacturing and e-commerce (Not ideal for pure HR)

I used Odoo before we moved to Zoho People, and I'll give credit where it's due: the performance management workflow is genuinely good.

The peer-to-peer review process and 360-degree feedback module flow seamlessly, and the reporting is solid for compiling appraisal results.

Before Odoo, I was compiling performance reviews in Google Docs which was a nightmare.

Odoo solved that specific problem well, but after running it for a while, it became clear that Odoo is built primarily for operations, manufacturing, and e-commerce inventory management. For managing people matters recruitment, onboarding, HR compliance, leave it's not the strongest fit.

My final thoughts

I've covered four HR software tools that I've personally used with teams in Kenya: Zoho People, WorkPay, AREN, and Odoo. Each has a specific context where it performs best.

No single system works for every business it depends on your industry, headcount, compliance needs, and budget.

Whatever you choose, please involve your team before you sign anything. That one step has made the difference every time I've been part of a successful HR software rollout.

Are there other HR tools that have worked for your Kenyan team?

Drop them in the comments I'd genuinely like to hear what others are using.
